Job Overview:

We are seeking a highly organized, proactive, and dedicated Virtual Assistant to support our healthcare client. The ideal candidate will be a master multi-tasker with excellent communication skills and an upbeat attitude. The Virtual Assistant will provide high-level administrative support, ensuring the efficient operation of the client.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to clients, including managing schedules, coordinating meetings, and handling correspondence.
  • Inbound and Outbound Call Handling: Receives inbound calls from customers and occasionally does outbound calls to coordinate important information.
  • Calendar Management: Efficiently manage and organize the client’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Communication: Serve as the primary point of contact between the client and internal and external team members, managing information flow in a timely and accurate manner.
  • Meeting Coordination: Organize and prepare for meetings, including gathering documents, creating agendas, taking minutes, and following up on action items.
  • Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics for domestic and international travel. Knowledge of navigating Uber applications.
  • Document Management: Prepare, review, and edit documents, reports, presentations, and other correspondence.
  • Project Management: Assist with special projects and initiatives, ensuring timely and successful completion.
  • Confidentiality: Handle sensitive information with the highest level of confidentiality and professionalism.

Qualifications: 

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Minimum of 2-4 years of experience as a Virtual Assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Knowledge in the MS Office (Excel, Word, etc.) or Google Workspace (G Suite) and agility in learning new internal software and systems.
  • Ability to manage multiple tasks and projects with a high level of detail and accuracy.
  • Strong problem-solving skills and the ability to work independently.
  • Professional demeanor and strong interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Flexibility to work outside of standard business hours as needed.

Minimum Requirements:

  • i5 10th Gen or equivalent, 8GB RAM, 2GB Video Card or Integrated Graphics Card, Windows 10 or macOS (no Netbooks or Chromebooks), Headset with noise cancellation feature
  • Main Internet should be minimum of 20MBPs, wired only
  • An Antivirus Software should be installed, activated and updated
  • Backup Internet
  • Quiet Workplace
